Terms and Conditions
By enrolling your child at Wymondham Young Voices, you accept these terms and conditions (“Terms & Conditions”) as an ongoing agreement between you and Julia Dove/ Wymondham Young Voices/ WYV (“Agreement”).
The Agreement is made between the parent/guardian (“Parent”, “you” or “your”) of each enrolled student (“Student”) by a Parent/guardian and Julia Dove (“Wymondham Young Voices”, “we”, “our”, “us”) and is valid at all times whilst the Student is enrolled on any Wymondham Young Voices activity.
1. INTRODUCTION
1.1 These Terms & Conditions apply to all our Wymondham Young Voices sessions, performances and any additional products and/or services offered by Wymondham Young Voices in the future for any Student.
1.2 Any changes to these Terms & Conditions require the written consent or approval of Julia Dove.
1.3 A “Term” refers to a block of sessions offering tuition in singing which will be delivered during the school term. Sessions will take place once per week for a certain length of time, as detailed at the time of booking.
1.4 “Informal Performance” refers to an event in which Wymondham Young Voices participate, either run by Julia Dove during a session during a term, as per definition in 1.3 above or as part of an event outside the usual WY venue (e.g Christmas Fair at the Wymondham Abbey).
1.5 “Principal” refers to Julia Dove, the principal of Wymondham Young Voices.
1.6 “Term Dates” refers to the dates for the relevant Term.
2. ENROLLING A NEW STUDENT FOR A TERM AT WYMONDHAM YOUNG VOICES
2.1 Each new student who has not previously attended a Wymondham Young Voices session is entitled to a free first session.
To apply for a free place, the Parent must agree to these Terms & Conditions and can either submit an application form online or contact WYV via Julia.wyv@gmail.com.
2.2 Each Student’s place is allocated on a ‘first come, first served’ basis.
2.3 If the Student and the Principal are happy for the Student to continue with WYV sessions, full payment must be made before the next Wymondham Young Voices session.
3. ENROLLING A RETURNING STUDENT
3.1 Full payment is due for each block of sessions before the start date of the Term, subject to any alternative payment agreements you may have with the Principal.
3.2 The payment is non-refundable.
3.3 Times, current Term Dates, fees and all relevant course details will be confirmed in the Acceptance Letter, along with a receipt for payment.
3.4 All such terms and conditions detailed in the Acceptance shall be incorporated into the Agreement and shall be deemed to have been accepted by the Parent upon payment by, or on behalf of, the Parent.

5. DISCOUNTS
5.1 Wymondham Young Voices may, at its discretion, offer the second child of the same family attending the term of singing sessions at the same time, a sibling discount of up to ten percent (10%) on Course fees. This discretionary sibling discount will only apply if Wymondham Young Voices is notified of the sibling relationship prior to the start of the new term. Only one discount may apply against the Course fee for an individual child at any one time.
5.2 Once enrolled on a Course, Term Dates for the next Term will be made known to Parents in writing at the end of the current Term.
5.3 Payment is due for the next Term of Course fees before the start date of the Term, subject to any alternative payment agreements you may have with the Principal.
6. TERMINATING OR CANCELLING MEMBERSHIP WITH WYV
6.1 Blocks of singing sessions are paid termly. If you wish to cancel your child’s space with WYV after having paid in full, you must cancel your child’s space with WYV within 14 (fourteen) calendar days BEFORE the beginning of the new block of sessions for the term. If any additional fees were paid then WYV will refund the Balance to you within fourteen (14) calendar days of your cancellation.
6.2 If a new student has paid in full but wishes to terminate the membership, you must cancel your child’s space BEFORE the next WYV session. If any additional fees were paid then WYV will refund the Balance to you within fourteen (14) calendar days of your cancellation.
6.3 Once you have notified Wymondham Young Voices that you wish to cancel, the Student may no longer attend the Course.
6.4 If no cancellation is made in accordance with clause 5.2, the Agreement for the Course will continue for the duration of the Term.
7. USE OF PERSONAL INFORMATION
7.1 The personal data (as it is defined in the Data Protection Act 2018) of a Student and/or Parent will be processed by Wymondham Young Voices.
7.2 Wymondham Young Voices owns all the rights, title and interest in and to its websites, including software, text and media and its trade marks, logos and brand elements. Nothing within these Terms & Conditions affects or licences the ownership of these rights. Any intellectual property created during any Session or performance is owned by Wymondham Young Voices.
8. HEALTH AND SAFETY
8.1 Students participate at their own risk and parents/guardians are obliged to inform Wymondham Young Voices of any existing injuries or medical condition. All application forms must have any known medical conditions stated and any changes to such information must be notified immediately in writing.
8.2 If a Student is unwell or has an accident requiring emergency treatment, the Parent/guardian will be contacted via the emergency contact details provided on the enrolment form. This number must always be contactable whilst the Student is attending the Wymondham Young Voices sessions.
8.3 Parents are solely responsible for ensuring that the emergency contact details on Wymondham Young Voices’ records are up to date and any additional needs are highlighted.
9. PERSONAL PROPERTY
9.1 Students are obliged to take care of their own belongings. Wymondham Young Voices can accept no liability for lost, stolen or damaged belongings.
9.2 You acknowledge that the maximum aggregate liability of Wymondham Young Voices to a Student or Parent/guardian under these Terms & Conditions shall not exceed the Wymondham Young Voices session fee to which a claim relates.
9.3 The liability of Wymondham Young Voices and that of its staff/volunteers is restricted to class time only and then only to gross negligence.
10. GENERAL
10.1 Wymondham Young Voices may, at its own discretion, refuse a Student entry to a session or performance if it is felt that the Student’s behaviour is unacceptable
10.2 Please ensure that your child arrives on time for each session. For Safe-guarding purposes the main door will remain locked during the sessions. If you arrive too late you may be refused entry and your child may miss their session. In the event that your child misses a session due to lateness WYC cannot issue any refunds.
10.3 Wymondham Young Voices reserves the right to make changes to the timetable, the teaching staff, the advertised programme or the programme delivery mechanism (for clarity this may mean that we switch to online zoom classes) in the event of illness or other circumstances beyond our control.
10.4 Where a session of a Wymondham Young Voices has to be cancelled by Wymondham Young Voices, the Principal will give as much notice as possible. In the event of a last minute session cancellation, you will be notified by email, text message, a call to your mobile phone or through a designated Wymondham Young Voices social media site. Parents/guardians must ensure that they provide the Principal with up-to-date contact details.
In the event of a Wymondham Young Voices Activity being cancelled, we will provide substitute lessons where possible either at an alternative time, venue or online. If no alternative can be offered, Wymondham Young Voices will provide refunds for lessons that are unable to be fulfilled.
10.5 It may occasionally be necessary to change the time and/or venue of a Wymondham Young Voices singing session. This will only be done if absolutely necessary and Wymondham Young Voices will do its best to keep class times, programme delivery mechanisms and/or locations as similar as possible but unfortunately this cannot be guaranteed.
10.6 In the event that a Student is unable to attend a Wymondham Young Voices session, due to sickness, holiday or a decision by the Parent/guardian or Student not to attend, Wymondham Young Voices regrets that it is unable to refund any prior payment.
10.7 All Students must be collected on time after a session. Wymondham Young Voices is unable to supervise Students after a session and consistent late collection will result in additional charges.
10.8 Wymondham Young Voices fees are reviewed annually and may be increased each year.
10.9 These Terms & Conditions, together with any Fee Note or Acceptance Letter, constitute the entire agreement between the parties which supersedes and replaces all previous agreements, promises, assurances, warranties, representations and understandings between them, whether written or oral, relating to its subject matter.
10.10 In the event that one or more of the provisions of the Agreement are found to be unlawful or otherwise unenforceable, those provisions shall be deemed severed from the remainder of the Agreement.
10.11 The Agreement shall be governed by, and construed in accordance with, the laws of England and Wales and any dispute; proceedings or claim shall fall within the jurisdiction of the English courts.
